Privacy & POPIA Policy

ZionFlow respects privacy and processes personal information in accordance with applicable South African law, including the Protection of Personal Information Act 4 of 2013 (POPIA).

Information we may collect

Depending on how you use ZionFlow, we may collect your name, email address, telephone number, billing and order details, account information, business information, communications with us and technical information such as device, browser, IP address, cookies and website activity.

For business registration or compliance assistance, we may also need company information, director or beneficial-owner information, identification or registration details and supporting documents reasonably necessary to perform the requested service. Please do not send information we have not requested.

Why we process information

We may process personal information to manage accounts; process orders and payments; provide digital access; deliver professional services; assist with authorised registration or compliance submissions; provide support; prevent fraud; secure our systems; maintain records; improve services; and comply with legal obligations.

Regulatory submissions

When you purchase a filing or compliance service, you authorise ZionFlow to use the information you provide to prepare, administer or submit the requested process to the relevant registry, authority or service provider where necessary. This can include required information sent through systems connected to CIPC, UIF, the Compensation Fund or other applicable authorities.

Shopify, payments and providers

This store is powered by Shopify. Store, checkout and account information may be processed by Shopify and its service providers. Payment information may be processed by the payment provider selected at checkout. ZionFlow may also use hosting, communication, analytics, cloud-storage, security, professional and technical providers where reasonably necessary.

Cross-border processing

Some providers may process information outside South Africa. Where this occurs, ZionFlow will seek to use arrangements and providers that offer appropriate protection as required by applicable law.

Cookies

ZionFlow and Shopify may use cookies and similar technologies to operate the store, remember preferences, protect checkout, understand website use and support analytics or marketing where enabled. See the Cookie Policy for more information.

Marketing

Marketing communications are sent only where permitted by law. Where consent is required, we will seek it. You can opt out of promotional communications, while necessary order, account, security and service messages may still be sent.

Security

ZionFlow takes reasonable technical and organisational measures to protect personal information. No internet or storage system can be guaranteed completely secure. If a security compromise occurs, ZionFlow will take steps required by applicable law.

Retention

Information is kept only as long as reasonably necessary for the purpose collected, service delivery, records, disputes and legal, tax, accounting or regulatory obligations. Information no longer required will be deleted, de-identified or securely disposed of where appropriate.

Your rights

Subject to POPIA and other applicable law, you may have rights to request access, correction or deletion, object to certain processing, withdraw consent where applicable, or complain about processing. Email hello@zionflow.co.za with the subject “Privacy Request”. We may need appropriate identity verification.

Information Regulator

If you believe your personal information has been handled unlawfully, you may lodge a complaint with the Information Regulator (South Africa). Current information is available at inforegulator.org.za/complaints.

Children

ZionFlow's business services are not designed for children. We do not knowingly request personal information from children unless it is lawfully provided or authorised by a parent, guardian or another person with lawful authority and is necessary for a legitimate service or legal purpose.
